Each sale is counted in the month the fridge was opened — not the month the card settled. A vend on 30 June that settles on 2 July is June's, which is what your VAT return and your host's invoice both need.

Sales are what a spreadsheet can already show you. The rest — output VAT split to the penny, self-billed invoices to your hosts, FIFO cost of goods and real margin per shelf lane — needs your supplier invoices and your machines connected. That is the part Maimava is for.
